Bring Your Phone System Into Clinically
The headline this cycle: if your clinic runs on MaxoTel, your phone system now lives inside Clinically — calls pop up the right patient, reception gets a proper callbacks worklist, and audio messages arrive already transcribed. Plus a new way to hand intake forms to patients on a waiting-room tablet, a tidier Clinical Inbox, and clickable patient names everywhere.
Your phone system, inside Clinically
Connect a MaxoTel hosted PBX (Settings → Integrations → Phone System) and the phone stops being a separate thing on your desk.
- Click any number to dial — Patient mobiles, referrer contacts, practice numbers: wherever a phone number appears, click it and your handset dials. No copying digits into a separate app.
- Incoming calls pop up the caller — When a call rings your extension, a card slides in at the bottom of the screen showing who's calling and — if the number matches your records — the patient or referrer it belongs to, with a one-click button to open their record before you've even said hello.
- A callbacks worklist for reception — A new Calls screen lists missed calls, abandoned calls, and callback requests, with live counts on each tab. Tick a call as handled when you've dealt with it, or hit Call back to return it straight from the list.
- Audio arrives transcribed — Any audio attachment that lands in the Practice Inbox — a voicemail, a dictated message, a recorded call — is automatically transcribed and summarised, so you can read the gist (caller, callback number, what they wanted) without listening to the whole recording. The full transcript is one click away.
- Hot-desking — Reception staff who move between desks can switch their extension from the user menu, and choose whether the handset auto-answers or rings first.
The integration is free, off until you turn it on, and configured by an admin. If you'd rather just make numbers clickable without a full PBX, there's a lightweight "device dialer" mode that uses your computer's default calling app instead.
Send intake forms to a waiting-room tablet
Pair an in-clinic tablet and you can hand patients their paperwork on the device instead of a clipboard.
- From the new Tablets page, a patient's record, or today's appointments, pick the forms you want and send them to a paired tablet.
- The patient works through the forms step by step ("Step 1 of 3"), and when they hand the tablet back, their answers are already in Clinically.
- Sessions time out on their own after a spell of inactivity, and reception can recall a session mid-way if someone's called through to their appointment.
Pair and manage your tablets under Settings → Patient Forms → Tablets.
Keep noisy senders out of the Clinical Inbox
Some senders — software vendors, automated systems — send attachments that look clinical and keep landing in your Clinical Inbox by mistake. You can now tell Clinically to stop second-guessing them.
- In Settings → Practice Inbox, add specific email addresses or whole domains to the Clinical Detection Exclusions lists.
- Mail from those senders skips automatic clinical routing entirely — it still arrives, you can still move it by hand if something genuinely clinical turns up, but it won't clutter the clinical queue on its own.
Plus
- Patient names are now links — Across the Clinical Inbox, triage, appointments, and admissions, a patient's name is a link straight to their full record. (In form headers it opens in a new tab so you don't lose what you're working on.)
- A cleaner calendar practitioner list — Doctors who don't have a practice location set no longer appear in the calendar's practitioner columns, so you can't accidentally book against one.
- No more chat flash — The Ask Clinically panel no longer flickers open for a split second when a page reloads.
- Behind-the-scenes hardening — We upgraded our AI platform and shored up PDF generation against a memory bug. Nothing to see — just steadier underneath.
