Staff Forms for Workflows

Workflows just got more hands-on. You can now attach staff forms to workflow steps — internal forms that your team fills out before an item can progress. Think pre-triage safety checks, consent verifications, or administrative checklists.

What's new

Staff forms in workflow steps

Add a Create Staff Form action to any workflow step. When an item enters that step, a staff form is created and must be completed before the item can move forward. You'll see a badge on the workflow board card showing how many forms are pending (e.g. "0/1 staff forms") — click the badge to open and complete the form right there.

Dedicated staff forms list

A new Staff Forms page under Workflow gives you a single view of all staff forms across active workflow items. Filter by Pending, Completed, or All to find what needs attention.

Fill staff forms from patient records

Staff forms aren't limited to the workflow board. Open any patient record, click Actions → Fill staff form, choose a template, and complete it on the spot — useful for ad-hoc tasks that aren't tied to a specific workflow step.

Transition gating

Two new workflow conditions let you control when items can advance:

  • All Staff Forms Completed — blocks a transition until every staff form on the current step is done.
  • Patient Form Completed — blocks a transition until a specific patient form has been submitted by the patient.

Pair these with the auto-advance feature so items move forward automatically once all forms are in.

Setting up staff form templates

Head to Settings → Workspace → Forms → Staff Forms to create and manage your templates. Use the same drag-and-drop form builder you already know from patient and referral forms — add fields, set validation, and toggle templates on or off.
