Workflow Designer V2 & a Smarter Practice Inbox

Two big improvements this fortnight: the workflow designer is far easier to work with and much more powerful, and your Practice Inbox and Clinical Inbox now talk to each other so referrals stop getting stuck between them.

A much better workflow designer

The workflow designer feels like a different tool. It's calmer to use on big workflows, more forgiving when you're experimenting, and lets you branch on a lot more about each referral.

Easier to navigate and edit

  • Pan and zoom around the canvas — Drag to move around, scroll to zoom, and use the new minimap in the corner to jump anywhere on a large workflow.
  • Undo and redo — Made a change you didn't mean to? Undo it. Want it back? Redo it. Experimenting with a workflow no longer feels risky.
  • Tidier connections between steps — Lines between steps now run cleanly along horizontal and vertical paths instead of cutting diagonally across the canvas, so even busy workflows are easy to read.
  • Fullscreen mode is one click away — The fullscreen toggle now lives right on the workflow itself.
  • The AI Designer no longer blocks the canvas — When you ask the AI to design or change a workflow, it now opens as a side panel so you can see the canvas while you describe what you want.
  • It catches mistakes before you save — If a workflow has a broken connection or a step that can't be reached, the designer tells you and won't save it — so production workflows stay reliable.

Branch on much more about each referral

You can now route referrals based on far more of what the system knows about them:

  • Who the patient is — Branch on patient details like age, address, or other demographics.
  • Who's funding it — Branch on the funding source on the referral.
  • Who referred them — Branch on properties of the referring doctor or organisation.
  • What's happening on the request — Branch on whether an appointment has been booked, whether a document is flagged for follow-up, and other live signals.
  • What the document looks like — Branch on the type of incoming document, who sent it, or specific information the AI extracted from it.
  • How confident the AI was — Send uncertain classifications down a different path for a human to review.

Permissions instead of roles

Workflow conditions that used to check a user's role now check what they're allowed to do — which lines up with how permissions work everywhere else in the app. If you'd previously set a condition by role, you can now choose a permission directly. The old role option has been retired.

Practice Inbox and Clinical Inbox now work together

The two inboxes have stopped working in isolation. Documents flow between them automatically, and reception can hand things back to the original sender without leaving the Clinical Inbox.

  • Encrypted referrals land in the Clinical Inbox automatically — When an encrypted referral PDF arrives in the Practice Inbox, Stream now decrypts it, runs it through the document pipeline, and pre-populates a Clinical Inbox entry — no more downloading, decrypting and re-uploading by hand.
  • Send a document back to the Practice Inbox — From the Clinical Inbox you can now bounce a document back to the conversation it came from, so reception can reply to the sender about it.
  • Referral links from Gentu are fetched automatically — When inbound emails link to a referral PDF via a Gentu signed link instead of attaching it directly, Stream now fetches the PDF on your behalf so it shows up like any other attachment.

Plus

  • Shorter public form URLs — Forms you share with patients now live at /f/{tenant}/{slug}, so links are shorter and easier to share over SMS or read out over the phone.
  • Lots of smaller polish and bug fixes across the app.
